Who we are

WASX (Work Automation SolutionsX) is based at 1A-123 Lenore Dr, Saskatoon, SK S7K 7H9, Canada (mailing address: Box 1625, Saskatoon, SK S7K 3R8). Questions about privacy go straight to us at privacy-officer@wasx.ca.

What we collect

• When you contact us or book a demo: your work email, your first name on our demo page, and which emails you asked for (the early access program, a notice at the official launch, or both).
• When you use our transcription service: the dictations, templates and reports your clinic sends us to process.
• When you browse this website: standard analytics (pages visited, device type, how you found us) through Google Analytics and Google Ads cookies.

How we use it

• Contact details: only to reply to you and arrange your demo.
• Clinic data: only to produce your reports and support your service. Never for marketing, never sold, never used to train AI models.
• Your templates: used only to produce your clinic’s reports, for as long as we work together. They’re never shared, sold or shown to anyone else, and never used for another client’s reports or to train AI. When our relationship ends, we delete them.
• Website analytics: to see which pages and ads are useful.

Where it’s kept

Your dictations and reports are stored in secure data centres in your own country, and your organization controls who has access. Anything that identifies a patient is processed in your country, and the finished report is returned to you.

Some processing steps may use AI services in another country, usually the United States. Only de-identified text can ever be sent, and before any text leaves your country:

1. It’s automatically scanned, and names, dates, ID numbers and other identifying details are removed.
2. Your organization has signed off on de-identified text being processed outside your country.
3. Only then is the de-identified text processed — and nothing is kept outside your country.

If there’s no sign-off, the data doesn’t leave your country; those steps run on in-country services instead.

Website analytics (Google) may be processed outside your country and never contain patient information. Patient information is never collected through this website.

Who else is involved

We use trusted providers to run our services: established cloud providers for secure hosting, AI processing and email, and Google for website analytics and advertising. They process data on our behalf under their own security and privacy commitments. We don’t sell personal information to anyone.

How long we keep it

• Your dictations and reports: kept in your own country, under the retention rules your organization sets.
• Our processing backup: a copy is kept for 7 days in secure storage in your country, so a report can be re-run if something goes wrong, then deleted automatically.
• System logs: used to monitor and troubleshoot the service. Because they can include parts of a dictation, they’re stored in your country, restricted to authorized staff, and deleted automatically after 30 days.
• Contact details from our website: kept only as long as we’re in touch about your demo or service. Ask us to delete them any time.

Email and Canada’s Anti-Spam Legislation (CASL)

• We follow CASL for everyone we email, wherever you are. We only send you commercial email with your permission. Our sign-up boxes start unchecked, and you choose exactly what you want: the early access program, a notice at the official launch, or both.
• We keep a record of what you agreed to and when.
• Every email we send identifies us (WASX, Box 1625, Saskatoon, SK S7K 3R8) and includes a simple way to unsubscribe. Unsubscribe requests are honoured within 10 business days, and usually much sooner.
• If you asked us a question, we’ll reply to it. That doesn’t sign you up for anything else.

Your choices

You can ask to see, correct or delete the personal information we hold about you, or withdraw your consent to be contacted. You can also block analytics cookies in your browser settings. If you’re not satisfied with our answer, you can contact your local privacy regulator (in Canada, the Office of the Privacy Commissioner of Canada).
